Things People Forget About When Planning a Private Property Wedding


Getting married on a private property gives you so much freedom, but unlike a traditional wedding venue, you are basically creating your venue from the ground up. There are a few things that are easy to overlook in the beginning, but they can make a huge difference in how smoothly the day comes together.


Start with a wedding planner

If there is one place where I would recommend having a planner, it is a private property wedding. There are a lot of moving pieces happening behind the scenes, from tent installation and rentals to catering, power, transportation and weather plans. Having someone coordinate all of it allows you and your family to actually enjoy the property instead of managing vendors all weekend.



Think beyond the tent

A beautiful Sperry tent is usually the starting point, but you will also need to think about tables, chairs, linens, dinnerware, glassware, bars, lighting and potentially flooring. This is where a great rental company and planner can completely transform an empty property into something that feels intentional and elevated.


Make sure catering can actually work there

Your caterer will need a proper space to prep, cook, plate and clean. Depending on the property, that could mean bringing in a catering tent, refrigeration, water access, prep tables and additional equipment. This is something worth discussing with your caterer early in the planning process.


Power, lighting and bathrooms

Not the glamorous part, but definitely important. Your tent, catering team, DJ or band and lighting may require more power than the property can provide, which means bringing in generators.

You will also need to think about pathways and outdoor lighting once the sun goes down, especially if guests are walking between the tent, parking area and bathrooms.

And yes, bathrooms. If the house cannot comfortably accommodate your entire guest list, luxury restroom trailers are absolutely worth considering.


Have a real rain plan

A tent is already a great start, but rain can affect more than dinner. Think about your ceremony, cocktail hour, pathways and the ground itself.

Having a backup plan that you actually love makes such a difference. You don't want Plan B to feel like the disappointing version of your wedding.


Parking and transportation

Depending on the property, having 100 cars arriving at once might not be realistic. Shuttle transportation from nearby hotels can make the experience much easier for your guests and keeps the property from turning into a parking lot.

Don't forget your neighbours

If the property is in a residential or cottage area, look into local noise regulations and how late amplified music can continue. It is much better to know this before booking your DJ or planning a party until 2am.


Give yourself time for setup

One of the biggest advantages of a private property wedding is that you can create something completely your own, but that transformation takes time. Tent installation, rentals, florals, lighting and catering setup may begin days before the wedding.

Give your vendors the space and time they need to build everything properly. Then when the wedding day arrives, it feels effortless.
